What we collect and why

Applications include your business, trade, team size, location, contact details, current software and workflow problems. We use these to assess fit for the founding programme and discuss participation. Our basis is our legitimate interest in selecting suitable businesses for a relevant beta and responding to their request to participate. Selection involves human review; it is not an automated eligibility decision. You do not have to apply, but we need the required fields to assess an application.

Contact messages are used to answer your enquiry, on the basis of our legitimate interests in responding. Optional launch and product emails rely on your consent. We record the wording and date of that choice. You can withdraw at any time without affecting an application.

Optional case-study interest is recorded separately. It permits a discussion, not publication. We will obtain specific approval before publishing any identifiable material.

Technical information and cookies

Our hosting service may keep access and security logs, including IP addresses. Form protection uses an essential session and a short-lived hashed network identifier for rate limiting. Optional analytics is disabled. If enabled later, it will load only after your choice to allow it. See cookie details.

Who can access it

The authorised Trade Quote team and contracted hosting providers can process the information needed to operate the site. The website and its submission database are hosted on our Fasthosts server in the United Kingdom. Authorised staff may retrieve records to review and respond to enquiries. We do not sell application details. No external analytics or automated email platform receives website submissions. We will update this notice before adding a provider or changing where this website stores its data.

How long we keep it

Website application and contact records are removed after 180 days from submission. If you join the beta, your agreed onboarding records are managed separately under the service privacy information. Launch-list records expire after 24 months unless you renew your consent. Unsubscribing stops marketing immediately; residual website subscription records are removed within 30 days. You can request earlier deletion where applicable.

Rate-limit records are cleared daily once older than 24 hours. Essential form sessions expire after two hours. Cookie choices are remembered for six months. Private daily backups of this website’s database are kept on the server for up to 14 days. A deleted record may remain in those restricted backups until they expire; it is not used for normal processing. If a backup is restored, deletion and unsubscribe requests must be reapplied before marketing resumes.

Your choices and rights

You can ask for access, correction, deletion, restriction or, where applicable, portability of your information. You can object to processing based on legitimate interests by emailing us, and you can withdraw marketing consent at any time. Use the unsubscribe link in an update or contact the privacy address. We may need to verify a request before acting.

If you have concerns, contact us first or complain to the Information Commissioner’s Office. This site is for business users aged 18 and over. Please do not include private customer, health or financial details in free-text fields.
